American Heritage Credit Union, a $4+ billion credit union, has an immediate opening for a Commercial Operations Administrator! Responsible for opening business accounts in preparation of establishing new deposit and lending relationships and performing commercial loan processing functions. Communicate with members, vendors, and coworkers as necessary throughout account opening and loan processes.

Responsibilities Include:

  • Open business accounts in preparation of establishing new deposit and lending relationships following current procedures in place.
  • Confirm all supporting organizational documentation required to open or update a business membership is received and correct.
  • Contact member, branch of account, lender or business development officer regarding new business account decision and communicate process to complete request.
  • Process and deliver all necessary business accounts and required member disclosure documentation by the designated date and time to branch of account, lender, business development officer or via DocuSign directly to the member.
  • Provide product support for Remote Deposit Capture, ACH, Merchant Services, Positive Pay, Online Banking, Bill Pay and Other Services.
  • Review credit files to ensure file/documentation accuracy and compliance with NCUA guidelines.
  • Review credit memo for completeness and outstanding credit conditions.
  • Review loan documents and attorney prepared documents for accuracy.
  • Order environmental report, property search, flood search, credit check (if applicable) and appropriate appraisal in accordance with approved conditions and requirements of loan.
  • Provide support in the absence of the Commercial Operations Administrator II.
  • Perform clear-to-schedule process: Prepare closing checklist; order and review loan documentation for accuracy; ensure that wires are processed in a timely manner and/or funds are posted to the appropriate general ledger; stamp; inform lender of any outstanding items.
  • Ensure that all appropriate fees, including but not limited to origination, underwriting, documentation preparation, are charged to and collected from the member.
  • Support relationship interaction with title companies, insurance agents, attorneys, etc.
  • Contact applicants and other applicable parties to obtain all necessary documentation for loan and/or membership.
  • Review underlying documentation on abstract title reports and determine any required endorsements needed on collateral property by addressing all items to determine their effect on the lien status of the credit union and coordinate any required resolution to perfect credit union security interest.
  • Prepare closing agent lender's instructions for document preparation and complete all necessary tasks prior to drawing documents.
  • Maintain a strong understanding of and ensure compliance to federal and state regulations and regulatory requirements pertaining to the Bank Secrecy Act (BSA).


  • One year to three years of similar or related experience.
  • Equivalent to a two-year college degree or completion of a specialized course of study at a business or trade school.
  • Position requires flexible (occasional early morning and/or late evening) hours.
  • Work requires a strong knowledge of the credit union's retail and business structures, products, policies, and procedures.
  • Strong understanding of Symitar, MeridianLink, Microsoft Office Suite, Excel, Word, Outlook, and Adobe Acrobat or Nuance.
  • Willingness and ability to learn new products, multiple systems, and ability to adapt to change.
  • Attention to detail with high concern for data accuracy.
  • Excellent organizational skills with proven ability to prioritize and manage multiple responsibilities and projects in a fast-paced environment within established timeframes.
  • Analytical skills, problem solving, and effective time-management skills.
  • Requires judgement to solve day-to-day problems but usually within the established guidelines.
  • Cooperation/teamwork and patience in dealing with members.
  • Intermediate mathematical skills required (calculations and concepts involving decimals, percentages, fractions, etc.).
